Sharing External Materials

Saskatoon Public Schools considers requests from external organizations to share information with schools, staff, students, and families when it aligns with division priorities and provides clear value to our school communities.

Requests are reviewed centrally and approval is granted at the division’s discretion. Due to the volume of requests received, not all submissions will be approved. Saskatoon Public Schools is not a primary distribution channel for external marketing or promotion.

In making decisions, the division considers factors such as:

  • Relevance to student learning, well-being or school experiences
  • Alignment with division priorities and values
  • Accessibility and inclusivity
  • Whether the organization has other established channels to reach audiences directly
  • Overall current demand on school communication channels

Organizations may submit requests for consideration through the division’s central office at info@spsd.sk.ca. Organizations that contact schools directly will be redirected to division office.

Acceptable Formats

The division office, in consultation with the external organization, will determine the most appropriate format based on the nature of the opportunity and available resources.

Any costs associated with sharing materials (e.g. poster printing) are the responsibility of the external organization. Where physical materials are provided, please allow 1-2 weeks from approval to delivery of materials at schools. Printed materials must be clearly labelled Attention: Communications & Marketing and delivered to the division’s central office.

To support manageable communication for schools and families, digital materials are strongly encouraged. Preferred formats include PDF (ideally one page) or plain text (ideally 200 words or less) suitable for inclusion in internal messages and newsletters. Please ensure the material includes:

  • A link to a website or other digital presence for the event or organization
  • Any costs associated with the opportunity
  • A contact for more information

Materials are not distributed directly to students. Physical materials will be displayed in common areas at schools. Digital materials will be shared with school staff, who will determine whether and how to distribute them further.

Additional Considerations 

  • While we appreciate offers of complimentary tickets or promotions for students, these will be considered on a case-by-case basis. Priority is given to opportunities that provide benefit without requiring additional purchases or commitments from families.
     
  • Saskatoon Public Schools does not distribute or promote materials or opportunities that are religious or political in nature, including advocacy-based activities such as rallies, marches, or demonstrations. This approach reflects the division’s commitment to maintaining a neutral, inclusive learning environment and does not represent a position on the issues themselves. Exceptions may be made for division-led or board-approved initiatives that align with the division’s strategic priorities and commitments, such as those supporting equity, inclusion, and reconciliation.

All distribution of external materials is undertaken in accordance with Administrative Procedure 570 – Distribution of Materials.
